Visitors to our collections are subject to standard UK laws governing archival copyright and general data protection regulations (GDPR). Further detail is provided below. Please contact us if you need further information: archives@uea.ac.uk 

Registration

All users are required to complete a registration form which contains details of copyright and data protection laws relating to archival research. It also contains security and collection care guidance as it relates to handling archive material. Your personal data is held for five years following your visit to allow us to keep track of who has accessed archive material. You can complete the form (link below) and scan and send it back in advance via email, or complete it on arrival. Members of the public who are not staff or students must show identification, such as a driving licence and/or passport and proof of address such as a utility bill.

Copyright

We do not own the copyright within the archives we hold. Some depositors permit copying under fair dealing within UK copyright law. Visitors to the archive may request copies. You will be asked to complete a Copyright Declaration form - which will be held on record. There is a form for self-copying, and a different form for copying undertaken by Archive staff. The latter is a chargeable service. In all cases you must request permission from Archives staff before copying as not all archive depositors permit copying and, where copying is permitted, Archives staff need to help determine what constitutes 'fair dealing' in relation to a particular archive.

Data Protection

Archives sometimes hold personal information. As an archives researcher, you are subject to General Data Protection Regulations (GDPR) and must comply with the law in your use of any data held within our collections. Our registration form provides some information and more can be found on the Information Commissioner's Website. Archives staff can provide general guidance but this does not constitute legal advice.
